DRAFT Minutes

 

       Met with Fire Chief Nevan Cassidy

o      Nevan made several observations and recommendations about fire-prevention, sprinklers and the archives space:

       Have an electrician check the wiring, particularly where appliances are plugged into outlets. Barbara will make arrangements with Kurt Grassett regarding an electrician inspection.

       In/near AA room, consider switching to newer model coffee machine(s) that have automatic shut-off. Someone should contact an AA official.

       Purchase and install a fire extinguisher on second floor. Barbara will make arrangements.

       Remove clutter from floor near AA room.

 

       Minutes from March meeting were approved with no changes.

 

       Disaster Aversion

o      Freezer: Eric checked with Kobe Bied at Sargent Center, which agreed to let the town use the center's freezer to store wet archives in the event of a sprinkler/fire emergency. Eric also checked with the Hancock Inn, which has a walk-in cooler, but no freezer. (Koby Bied, Nature's Classroom, Sargent Center for Outdoor Education, kbied@naturesclassroom.org, 525.3311).

o      Disaster Lite Plan: Cindy agreed to draft a short disaster plan with contact information and other data for use in case of an emergency. We'll run the draft by appropriate department heads, including Fire Department (Nevan Cassidy), Public Works (Kurt Grassett), and Emergency Preparedness (Jon GrosJean).

 

       Website

o      Eric contributed some link information to Nahida Sherman for the archive page on the town's website.

 

       Climate Control

o      Eric made arrangements to meet with the HEAT Committee on May 13 and see what projects the committee's approved grant covers in relation to the archive space.

 

       Moose Plate grant

o      Howard reported that the Moose Plate grant has been sent and received, with much help in preparation by Deborah Porter Hayes. We should hear from the Moose Plate folks in June.

 

       Inventory

o      Cindy proposed that the committee take inventory of some of the various items in the archive space, such as cemetery records, old mortgages, and other records that have yet to be organized and stored.

o      Eric proposed that the task be taken up as a work project for the next meeting, with teams covering various parts of the room.

 

       Next meeting

o      Wednesday, May 12, 7 p.m. – to inventory the various items mentioned above.

o      Future meetings to be on the second Wednesday of the month.

o      Barbara has asked Linda to include the above regular schedule in routine posting arrangements.
